Real estate deal pipeline management for acquisition teams

See every deal your team is working, stage by stage, with the next critical date, price, size, latest note and broker on one screen. Move deals forward, keep every date on the calendar, and never lose the history of why a deal moved.

Acquisitions pipeline stages

A pipeline that matches how acquisition deals really move

DealQube starts with the stages most acquisition teams use, in the order deals move through them. Rename them, add your own or use your market's terms during setup.

  1. Screening

The deal is in. The team is looking at the location, the market and the numbers to decide whether it is worth underwriting.

  2. Underwriting

An analyst is running the numbers in your model. The result is recorded on the deal when it is done.

  3. Offer Rec

Underwriting supports an offer. The recommendation goes to your investment committee, CEO or partners for approval.

  4. Offer Out

The offer, letter of intent or heads of terms has been sent. You are waiting on a response or negotiating.

  5. Under Offer

Terms are agreed. The purchase agreement or contract of sale is being drafted and negotiated.

  6. Under Contract

The contract is signed or exchanged. Deposits, due diligence and deadlines drive the calendar.

  7. Closed

Closing, completion or settlement is done. Post-closing adjustments and reviews keep the deal on the calendar.

  8. Dead

You passed or lost the deal. It stays searchable with its notes for the next time the property comes to market.

Pipeline view

The screen your team will spend the most time on

The pipeline view groups deals by stage and shows how many deals sit in each one. Collapse the stages you are not working on, open the ones you are, and see each deal's essentials without clicking into it:

  • Deal name, in your firm's naming format
  • Upcoming critical date, so the next deadline is never a surprise
  • Price in the deal's currency, and the right size measure for its property type
  • Latest note and the date it was written
  • Broker or agent and their firm
  • Market or metropolitan area

Each person can choose their own columns, sort order and filters, and DealQube remembers that view for their login. An analyst might sort by bid deadline; a head of acquisitions might filter to one property type or one country.

Critical dates tracking

Every date that can cost you a deal, on one calendar

Acquisition deals run on deadlines. Miss a bid deadline and you are out of the process. Miss a deposit deadline or the end of the due diligence period and you can lose your deposit or your right to walk away. DealQube tracks the full set of critical dates on every deal and puts them on one calendar across your whole pipeline.

The dates your team acts on personally, such as deposits, due diligence deadlines, closing and post-acquisition reviews, sync both ways with Outlook calendars on the Professional and Business plans. Create the event in either place and it appears in the other. Dates without a set time are added as free all-day events, so they do not block anyone's availability, and each person sees times in their own time zone.

Tasks, approvals and history

Keep the work moving between people, not just between stages

A deal under contract can generate dozens of tasks across acquisitions, legal and finance. DealQube puts them on the deal, ties their due dates to the milestones they depend on, and tells people when work lands on their desk.

Tasks on every deal

Assign a task to anyone on the team with a due date. It shows on the deal, in their task list and, where you choose, in their calendar.

Assignment emails

When a task is assigned, the assignee gets an email with the deal, the task and the due date, so nothing waits on someone noticing it.

Dependent due dates

Professional and Business

Set a task due a number of days after a milestone, such as five days after the contract is signed. When the milestone moves, the task's due date moves with it.

Approvals on every offer

Professional and Business

Track when a recommendation went to your investment committee, partners or CEO, and when each approved, right on the deal.

Chronological deal log

Notes, next steps, stage changes, critical-date changes and price changes are saved in time order, with who made them.

Task cascades (roadmap)

Coming next: when a deal reaches a milestone, DealQube creates the whole set of tasks that follow, each assigned and dated, through to closing.

Pipeline management questions

What is deal pipeline management in real estate?

Deal pipeline management is the practice of tracking every acquisition opportunity through a defined set of stages, from first screening to closing, so a team can see how many deals are at each stage, what is due next and where effort should go. Pipeline software makes that view live and shared instead of rebuilt each week in a spreadsheet.

Can we change the pipeline stages?

Yes. DealQube starts with Screening, Underwriting, Offer Rec, Offer Out, Under Offer, Under Contract, Closed and Dead. During setup we rename, add or remove stages to match your process and your market's terms.

Which critical dates sync to Outlook?

You choose. Most teams sync the dates they act on personally, such as deposit deadlines, due diligence deadlines, closing and post-acquisition reviews, and keep earlier screening dates in DealQube only.

Does a deal leave the pipeline when it closes?

Closed deals move to the Closed stage but keep their post-closing dates, such as adjustments and the 90- and 180-day reviews, on the calendar until they are done.
